Documents needed to hire a domestic helper in Malaysia

Incomplete or unclear documents are one of the most common reasons an application takes longer than expected. Preparing early saves time and stress.

The exact list depends on your situation and on the helper’s nationality, and the authorities update requirements from time to time. Use this article as a general guide, and follow the checklist your agency gives you for your case.

Documents employers are commonly asked for

Identification

  • A clear copy of your MyKad (front and back)
  • For some applications, a copy of your spouse’s MyKad

Proof of income

Employers must meet the income and eligibility criteria set by the authorities. You may be asked for:

  • Recent salary slips
  • An EA form or income tax documents
  • Bank statements
  • For business owners, business registration and related income documents

These are used to assess your eligibility as an employer. They are not related to the helper’s salary, which is set out in her employment contract.

Proof of address

  • A recent utility bill or other document showing your residential address

Household documents

Depending on your household and the type of help you need, you may also be asked for:

  • A marriage certificate
  • Birth certificates of children
  • Documents relating to the person receiving care, for example for elderly-care needs

Documents relating to the helper

Your agency will handle most documents relating to the helper, such as her passport details and the employment contract. Some nationalities require the contract to be verified or endorsed by their embassy or relevant authorities in Malaysia.

After she arrives, she will complete a medical examination at a FOMEMA-registered clinic, and the remaining work-pass formalities are completed.

Tips for a smooth application

  1. Scan clearly. Make sure every page is readable, in colour, with no corners cut off.
  2. Check names and numbers. Names and identification numbers must match across all documents.
  3. Use recent documents. Older salary slips or bills may not be accepted.
  4. Send documents securely. Ask your agency how to send personal documents. Avoid posting them in group chats.
  5. Ask before you assume. If you are self-employed, recently changed jobs or have an unusual household arrangement, tell your agency early.

Renewing a permit or contract

For renewals, you will usually need a similar but shorter set of documents. Start well before the current permit expires. See our permit and contract renewal services.
